What is corporate email?

Corporate email is an electronic address that uses the company's domain and serves exclusively its interests. Typically, such addresses have the format: [email protected]. Corporate mailboxes can be created for:

  • Each employee (for example, [email protected] for Alexander Ivanov from the company "Super");
  • Shared access to various services (for example, [email protected] for shared access to analytics platforms for the marketers of the company "Romashka");
  • Sending emails on behalf of the company (for example, [email protected] for daily astrological forecasts from the company Magic).

Most often, corporate addresses have a similar structure, differing only in the company name.

Why is corporate email needed?

Corporate email provides organizations with a number of advantages:

  • Address management: Companies can control access to internal resources through the corporate domain.
  • Mass mailings: Successful email marketing requires corporate email with configured SPF and DKIM records, as mass mailings from regular mailboxes often end up in spam.
  • Increased trust: A corporate address immediately indicates the company's affiliation, while emails from general mail services (e.g., gmail.com) may raise doubts about reliability.

For mass mailings, it is recommended to use separate addresses, such as [email protected], to increase the likelihood of success and avoid delivery issues.

It is also important to remember to gradually "warm up" the new mailbox before starting to send mass emails.

How to organize corporate email?

There are several main ways to organize corporate email. The choice depends on the size of the business, its specifics, and the budget for maintaining mailboxes.

Methods of organizing corporate email

1. Free email from a mail service

Although this method does not provide full corporate email, it can be used to meet business needs. The main advantage of this approach is the absence of costs.

However, there are many disadvantages:

  • Inability to customize email to the company's needs;
  • Limited number of available names for addresses;
  • Unclear addresses may cause distrust among clients.

2. Corporate email from a mail service

The most common option, which allows creating corporate email on the company's domain. Some providers, such as Yandex and Mail.ru, offer these services for free.

Advantages include:

  • Creation of an unlimited number of addresses;
  • Presence of the company’s domain in each address;
  • Built-in antivirus protection and customizable spam filters.

3. Corporate email from a hosting provider

This option is suitable for companies that host their websites on the servers of certain hosts. Often, such hosting services offer corporate email for free after purchasing a domain.

Advantages:

  • Personalized filter management;
  • Full encryption of correspondence;
  • Configuration of email forwarding;
  • Control over the volume of mailboxes.

4. Email addresses on a private mail server

This method is the most independent but requires significant investment in hardware and technical maintenance. To implement it, you need:

  • High-speed internet;
  • A physical server with an installed OS;
  • Special software for the server;
  • An active domain name.

Main advantages:

  • Flexible disk space;
  • Personalized filter and forwarding settings;
  • Easy backup;
  • Constant control over the operation and reliability of the server.

However, having a dedicated specialist to maintain such a server may lead to ongoing costs.
