In a social media management team, it is crucial for all members to work together seamlessly, like a well-oiled machine. If processes are not streamlined, work can quickly turn into chaos.

Imagine each employee working in their own world: some are writing posts, others are searching for suitable images, and some have completely forgotten that they need to publish something today. As a result, we face numerous misunderstandings, inconsistent publications, and, of course, wasted time. And wasted time means lost money.

Constant messaging and the use of multiple Google documents only complicate the situation. Instead of focusing on creativity and engaging with followers, the team spends time searching for the necessary information and coordinating actions. This is inefficient and exhausting.

If processes are not well-established, serious problems can arise. Mistakes not only undermine trust in your team but can also negatively impact the brand's image.

To avoid this, it is essential to create a simple and clear process that works for the entire team. When everyone understands their roles and responsibilities, and you have a single place to store information, work becomes much easier and more efficient. As a result, the team can focus on creativity and strategy rather than endless messaging and searching for the right document.

The Postmypost service can be such a tool. Our service can be used not only to automate the publication process but also to organize full-fledged teamwork for the entire team. In this article, we will explain how to do this.

Overview of Features

Teamwork provides an opportunity for effective collaboration on creating posts, approving them, and ensuring shared access to comments, messages, and other important aspects.

For example, you can clearly define the stages of post creation and establish connections between them. For instance: writing text → design → approval → publication.

When moving from one stage to another, you can set who will receive notifications.

For example, when a post moves to the "Design" stage, the relevant specialist immediately receives a notification about the new task. At the "Approval" stage, the notification will be sent to your client or supervisor.

Teamwork allows you to provide access to any functions. You can grant access not only to publications but also to comments, analytics, or messages. You can configure access so that a person can only respond to comments but cannot delete them.

Benefits of Teamwork:

  • Access Control – Your employees and clients do not have access to your social media passwords and work exclusively through Postmypost. You can set access to any part of the functions: for example, you can provide access to a project so that a person can see a post but cannot delete or edit it.
  • Exclusion from the Project – You can easily remove someone from the project in Postmypost by simply revoking their access. There is no need to change passwords.
  • Workflow Stages – Organizing collaborative work on creating posts becomes a breeze.
  • Notifications – The ability to set notifications for all participants in the process.

Discussion of Posts

Our service has a discussion feature that allows you to share thoughts both within the team and with clients.

Under each publication, in the lower right corner, you will find an icon to start a discussion. Clicking on it will open a form where you can leave your internal comment on the publication.

As soon as a new internal comment appears, a yellow bell will light up in the publication calendar and above the internal comments icon.

Access Settings

Each project has its "Team" section, which is displayed in the left menu of the active project.

To grant access to the project to another user, go to the "Team" section of the desired project and click the "Add" button. You can choose from a list of people you have added before or add a new one by providing their email address. The new participant will receive a direct invitation link for registration or joining your project.

In the opened window, click the "Configure" button next to "Full access to the Publications section," check the box next to "Access to internal comments," and click "Save."

Notification Settings

You can set up notifications via email or Telegram.

To add a notification, go to the settings section of the necessary project, select "Notifications," and click "Create." In the opened window, choose the desired notifications and specify the channel for receiving them (email or Telegram).

In the "Teamwork" block, check the box next to "New team comment" and click "Save."

Team Workflow Stages in Postmypost

Collaborative work on posts is organized through stages/steps of publication creation, which help unite all team members and clients around your project, facilitating collaboration on creating, discussing, and approving posts.

Examples of Workflow Stages for a Large Team

  1. The copywriter writes the post text and passes it to the next stage, the designer. The designer adds images. After that, they can either pass the post to the next stage or return it for revision to the copywriter.
  2. The project manager checks the post: if everything is in order, they send it for approval.
  3. The client approves the posts.

Thus, the stages will be as follows: Copywriting > Design > Review > Approval.

If Only Client Approval of Posts is Required

Often, the teamwork function is needed solely to show the finished posts to the client and get their approval.

In this case, the interaction between participants looks like this:

  1. The SMM prepares posts in Postmypost. Stage "Post Creation."
  2. The SMM sends the posts to the "Approval" stage.
  3. The client reviews the posts and either sends them for publication or returns them to the manager for revision.

The workflow stages are: Post Creation > Approval.

The examples provided are just options for collaborative work. The stages can be customized to fit your team's specific composition.

As you can see, Postmypost offers extensive possibilities for project management. No more endless chats, documents, and lost accesses, messages, and important information. Everything is in one place. Try it free for 7 days!
