Today's authors often work online without bulky desktop programs. Speed and the ability for collaborative access are important now. That is why services like Google Docs and Yandex Documents have become standards in corporate communication.

Both online editors allow you to edit texts in the browser, comment, and exchange amendments. But each solution has its strengths and weaknesses. In this material, we examine both services and suggest which "docs" might suit you.

What are Google Docs and Yandex Documents

Google Docs (or in Russian, Google Docs) became one of the first online editors, replacing the familiar Word. The advantage is the ability to work on a document from any device. All changes are instantly saved in the cloud. The service is integrated into Google Drive.

Yandex Documents is part of the domestic Yandex ecosystem. Its features largely repeat those of Google Docs: collaborative editing, version history, templates. An obvious difference is integration with Yandex Disk and other ecosystem products. For example, you can attach a file from mail, share a link, or save the result to disk in a couple of clicks.

In online editors, not only functionality is important but also convenience. The interface affects productivity, especially if you are editing dozens of materials a day.

For content managers and editors, there is a convenient tag function — you can tag a colleague through "@". The mentioned specialist will receive a notification by mail.

A separate plus is the adaptiveness of the interface. When opened on a smartphone or tablet, the online editor adjusts to the screen. The mobile version does not exactly repeat the desktop version but allows minor edits and comments on texts on the go.

The main advantage is simplicity. Fonts, lists, tables are in familiar places, as in Word. This is convenient for those who are just mastering online editors.

In Yandex, you can also leave comments, share links to specific text fragments, and track changes.

Commenting and Collaboration

Often, several specialists are involved in working with content: editor, author, proofreader, manager. This is a factor that has caused Microsoft Word to fall to the background — everyone now needs collaborative access.

Teamwork in Google Docs

For many years, Google Docs has been considered the benchmark for team online editing. In Google Docs, you can open access via a link, assign a level of rights — viewing, commenting, editing — and work simultaneously with dozens of users. All changes are saved automatically, and amendments are highlighted — you can see who changed what.

The commenting mode in Google Docs is useful to editors. Comments can be closed, deleted, or discussed — without conversations in messengers.

Two other useful features: a built-in chat, through which you can communicate within the platform, and version history. This is useful: you can restore the text if someone deletes a necessary fragment.

An interesting difference between the services is the presence of AI in Yandex. In 2024, YandexGPT was integrated into Documents — an assistant for text editing. It helps complete fragments upon request, rephrase the text into the desired style, correct mistakes, and typos.

Advantages of Google Docs:

  • Minimalist, intuitive interface without unnecessary elements.
  • Adaptation for mobile devices — you can work on the go.

  • Convenient access categories.

  • Highlighting changes from users.
  • Built-in chat and detailed version history.
  • Integration with the Google ecosystem: Drive, Gmail, Calendar, Sheets, Slides.
  • Support for popular formats: docx, pdf, txt, and others.

Disadvantages of Google Docs:

  • No password protection and access duration limitation.
  • AI tools are not available in Russia.
  • Sometimes conflicts arise when editing large files simultaneously.
  • Limited functionality in the mobile version compared to the desktop.

Advantages of Yandex Documents:

  • Classic interface similar to Microsoft Word.
  • All functions in quick access.
  • Full localization to the Russian language.
  • Real-time collaborative editing.
  • Ability to share with restricted access rights.
  • Document protection by password or access duration.
  • Built-in artificial intelligence YandexGPT.
  • Integration with the Yandex ecosystem: Disk, Mail, Calendar, Connect.

Disadvantages of Yandex Documents:

  • Less flexible functionality in version history.
  • Fewer integrations with external services — Slack, Notion, Trello, etc.
  • No extensions.
  • Some functions are only available with a paid subscription.
  • Documents imported from Google Docs are not always displayed correctly.
