Speed is crucial in responding to comments: people quickly forget what they wrote to you in the first place. However, a specialist cannot be available around the clock — users write at their convenience: at night, on weekends, or during promotions when the influx of messages is even greater.

To address this issue, we have added an AI assistant in Postmypost to automate responses. It’s like a duty admin who never goes on lunch breaks and doesn’t take vacations.

In this article, we will discuss how automatic responses from the AI Assistant can help with work tasks.

How to Use the Function

To enable the function, you need to go to the "Automation" section in the left menu and click "Create."

After that, click the plus sign and select one of the events. For an instant response to messages, you need the trigger "Event on Social Media."

Click the plus sign again and choose the action that will occur after the trigger — AI Assistant. It will generate responses to comments.

Now enter the prompt and click "Save."

Once again, click the plus sign. Choose "Social Interaction" — this is necessary for the system to send generated responses to users.

The final step is to click "Save."

What Information to Upload in the Prompt

The prompt is the instruction that helps the AI understand who it is, which company it works for, and how it should respond. The more detailed and structured the instruction, the less robotic and more human-like the result will be.

What to include in the prompt:

  1. Company Description. Who you are, what you do, and how you differ from competitors. For example: "We are UrbanBrew cafe with unique drinks, our own roasting, and a focus on a cozy atmosphere."
  2. Brand Communication Style (Tone of voice). Describe what the tone should be: friendly, expert, or as formal as possible. You can provide examples: "We write with emojis, use short phrases, and avoid dry bureaucratic language."
  3. Frequently Asked Questions and Prepared Answers. For example, to the question "Where are you located?" — "We are in the city center, Tramway Street, 10. The nearest station is Aviastroitel'naya."
  4. Additional Scenarios. For instance, in response to praise, send thanks and a question for engagement. For negativity — an apology and an offer to resolve the issue in direct messages.

Who Will Benefit from the Tool

The AI Assistant can be used for various purposes in different industries. Let's look at specific examples.

Retail and E-commerce

Customers often ask the same questions: "When will my order be delivered?", "How can I pay?", "Can I return the product?". Here, AI takes over the routine — employees only need to handle non-standard situations. This is very convenient during "Black Fridays."

Service Sector

Customers constantly inquire about the address, prices, and working hours. The AI assistant will relieve the burden from the administrator and will respond with prepared information.

Events

Reminders about dates, answers to questions about the program, sending congratulations, and even a polite "Thank you for being with us!" — all this can be handled by AI. It’s convenient if the team is busy organizing the event.

Small Business

Often, an entrepreneur is also an accountant, marketer, and SMM specialist. Communicating with clients in such a mode is tough. The neural network will help not miss requests and maintain the brand online.

Practical Test: UrbanBrew Cafe

To understand how the tool works in real life, we tested it on a hypothetical cafe. We defined the main task and information for the AI.

We also specified how responses should be:

  • positive and to the point, friendly,
  • with appropriate emojis,
  • short and useful.

We added general scenarios:

  1. If the question is related to a product — provide more details and emphasize the advantages.
  2. If the comment is negative — respond politely, calmly, and offer a solution. For example, invite them to direct messages for clarification.
  3. If the comment is positive — thank them and invite them to come again.

Here’s how the tool responded to a question comment:

And a third one — a response to a compliment.

Test the tool on your projects — start simple: upload a company description and a couple of standard scenarios. Even this will be enough to notice that you have more time for important tasks.
