Specialists, whether they are copywriters, designers, or content managers, have their unique perspectives and approaches to work. Therefore, if you simply say, "We need an engaging text for the newsletter," the result may be completely unpredictable.

What does "engaging text" for a newsletter mean? Each specialist interprets such instructions in their own way. One might create a text with a clickbait headline, while another focuses on the value of the offer.

Properly formulated technical specifications ensure 50% success in completing the task. In this article, we will share a template for technical specifications that will help you clearly articulate tasks so that specialists can execute them effectively and in line with your expectations.

Structure of technical specifications

The content of the technical specifications depends on the specialist to whom you assign it, as well as the specifics of their work. Nevertheless, there is a general structure that will help you create clear and understandable TS. Let’s consider each point with examples of good and poor formulations.

Title

Good example: "Creating content for an email newsletter about a new product"
Poor example: "Text for email"

The title should be brief and clear so that it is immediately understood what the task is about. The poor example does not provide any information about the essence of the assignment.

Task description

Good example: "Write text for an email newsletter that presents our new product, includes its main advantages, and has a call to action. In the first part of the email, briefly describe the problems and needs of customers that the product can solve. You can also add information that 93% of buyers are willing to recommend our product."
Poor example: "In the text, we sell a new product."

The first example clearly explains what needs to be done and what elements should be included. The more specificity, the better.

Deadlines

Good example: "The task must be completed by February 3."
Poor example: "Do it as soon as possible."

Providing clear time frames helps the specialist plan their work. The good example provides a specific date, while the poor one leaves too much uncertainty.

Success criteria

Good example: "The text must contain at least 300 words, include at least three key advantages of the product, and have a call to action."
Poor example: "The text should be good."

Clear success criteria allow for evaluating the completed work and avoiding misunderstandings. The poor example does not provide any information about what exactly is considered a "good" text.

Title

Creating 5 posts for Instagram about a new product

Task Description

It is necessary to develop 5 posts for Instagram dedicated to our new product — organic tea. Each post should highlight the unique advantages of the product and attract the attention of the target audience. The topics for each post are as follows:

  • Post 1: Introduction to the product
    Brief description of the tea
    Main ingredients and their benefits
    Call to action: "Try it today!"

  • Post 2: Health benefits
    Information about the beneficial properties of green tea
    How regular consumption can improve health
    Call to action

  • Post 3: Preparation methods
    How to brew tea properly
    What additives are suitable (lemon, honey, etc.)

Success criteria

  • Each post must contain at least 600 characters. Check the post on a mobile phone screen: all text must fit alongside the image.

  • Use relevant hashtags (e.g., #OrganicTea, #Health).

  • Each post must include a clear call to action.

By following this structure and relying on the provided examples, you will be able to create effective technical specifications that help specialists work more productively, achieve better results, and save time on revisions and additional explanations.
