In working with the client, the most time is not spent on creating content, but on organizing the process. It is unclear who should check what, which posts are already ready, where the latest version is. Postmypost helps to eliminate unnecessary steps.

First of all - breakdown into stages

Stages are the foundation of the workflow in Postmypost. They show the team what stage each post is at, who is responsible for the next stage, and which tasks need attention. Thanks to flexible settings, stages can easily be adapted to your work style - whether for a specialist, a small team, or a multi-tiered company.

Stages solve several typical problems: missing files, confusion in chats, and endless questions like "and what about this post?".

To configure stages according to your tasks, click on the "Workflow" section and the "Create stage" button. Name the stage and choose the logic for transitioning.

A step back can be configured to the previous stage or any other.

A step forward can also lead to the next stage or any specific stage. This is especially useful if the process in your team is not linear: for example, a post after revisions goes directly to the designer to update the visual.

Each stage will appear on the board as a column. Posts can be easily moved between these columns - this allows the team to quickly understand where everything is progressing according to plan and where delays have formed.

For example, the SMM specialist sees that the texts have long been at the "Design" stage, but the visual is still not there. And the client, upon opening the board, immediately understands which materials await approval - and does not ask the question again in the chat.

Once the stages are set up, the team benefits from a clear structure to follow for each post. But a simple sequence of stages is not enough - most often, delays occur further along during approval. This is where materials get stuck if it is unclear who and when should check them. Therefore, the next important element of the workflow is the proper setup of approvals.

Setting up approval

Approval can also be adapted to your team - from single-click publishing to multi-level verification. A flexible system allows you to eliminate unnecessary questions: who approves, within what timeframe, and what happens after approval.

There are several options:

  • Optional approval - activated manually when you need a colleague's or client's opinion. Example: the designer has finished the visual, but the text is not completely ready. You send the post for optional verification, so another writer can make recommendations without blocking the entire publication chain.
  • Mandatory approval - after the chosen stage, the content automatically goes for verification. The post cannot progress until someone with sufficient rights approves it. Example: the final text for social networks goes immediately after the writer's verification for approval to the project manager. This ensures the materials are not published without final control.
  • Multi-level - when the material goes through several stages: text - visual - final approval by the client. A manager is assigned for each level. Example: in a team of three people, one is responsible for the text, another for design, and the client for final confirmation. The post does not progress until all levels are passed.

This approach saves time through transparency: everyone knows when and what they need to approve - notifications come on Telegram, in the application, or by email, depending on the choice.

After setting up approval, the team works more organized: everyone receives exactly the tasks corresponding to their role. The next step is to make working with the client even simpler and to eliminate the last barriers to content approval.

Involve the client

Often, content approval takes time because the client struggles to get to publication. They do not have time to search for the right chat and content. In Postmypost, there is no such barrier.

The client does not need to create an account - just open the link. They immediately see the post, can leave a comment or click on "Approve". If there are many materials, a convenient thread helps, where all posts awaiting attention are displayed.

Involving the client in the service is easy: in the "Team" section, enter the client's email and assign them the role: "Client" and "Approver".

After that, the entire process works automatically, and the team spends less time organizing.

But it is not enough to publish content - it also needs to be analyzed. For convenience, reports in Postmypost are generated automatically - meaning that decisions can be made based on data, not assumptions.

Generating a report

All work stages in Postmypost are automated - even analysis. The service tracks statistics and updates them daily. This allows the team to see current indicators without unnecessary manual actions.

In the "Analysis" section, the main indicators by accounts and posts are gathered:

  • follower growth,
  • engagement,
  • reaction to specific publications,
  • audience dynamics by gender, cities, and countries.

Thus, the marketer immediately sees that a post about a new promotion created the most resonance with the audience in Moscow, while posts about product X work better with women aged 25 to 34 years. This helps plan content more effectively.

Here, it is also possible to compare the results of promoted posts, view the publication history, evaluate the effectiveness of different content types, and choose the best time for publishing materials.
